Refund & Cancellation Policy
Effective date: 1 January 2025
Overview
Mindacks Global Pvt Ltd ("MHCAI") is committed to delivering high-quality AI education. We want you to feel confident when enrolling in our programmes. This policy explains when and how you can request a refund or cancel an enrolment, and what to expect from the process.
If you have a question not answered here, please email billing@mindacks.com and we will respond within 2 business days.
1. Free programmes and masterclasses
Free masterclasses, webinars, and introductory sessions carry no charge and therefore no refund applies. If you can no longer attend a free live session, no action is required — you will not be charged.
2. Self-paced online programmes
Self-paced programmes give you immediate access to course materials upon payment.
- Full refund: eligible if requested within 14 calendar days of purchase and you have accessed less than 20% of the course content.
- No refund: if more than 14 days have passed since purchase, or if more than 20% of the content has been accessed, regardless of completion status.
- Technical issues: if you are unable to access course materials due to a platform fault on our end, we will either resolve the issue or offer a full refund at your option.
3. Live cohort programmes and workshops
Live programmes run on scheduled dates and require preparation. Our cancellation windows are designed to balance your flexibility with the costs we incur.
- Full refund: cancellation received more than 7 calendar days before the programme start date.
- Programme credit (no cash refund): cancellation received between 3–7 days before the start date. Credit may be applied to any future MHCAI programme within 12 months.
- No refund: cancellation less than 3 days before the start date, or failure to attend without prior notice.
- Programme postponement by MHCAI: if we reschedule or cancel a live session for any reason, you will receive a full refund or the option to transfer to the rescheduled date at no extra cost.
4. Certification assessments
Certification fees cover assessment preparation, invigilation, and credential issuance.
- Assessment not yet attempted: refund eligible if requested more than 7 days before your scheduled assessment date.
- Assessment attempted: assessment fees are non-refundable once an attempt has been made, regardless of the outcome.
- Failed assessment: re-attempt fees apply at the standard rate. No refund is given for the original attempt.
- Technical failure during assessment: if a verified platform fault prevents completion, we will offer a free re-attempt or a full refund.
5. Corporate training engagements
Bespoke corporate training is governed by a signed Statement of Work (SOW) or service agreement. Cancellation terms in that agreement take precedence over this general policy. In the absence of specific SOW terms, the following apply:
- Cancellation more than 14 days before delivery: full refund of any deposit paid, less actual costs incurred (e.g. materials already produced, travel booked).
- Cancellation 7–14 days before delivery: 50% refund of total engagement value.
- Cancellation less than 7 days before delivery: no refund.
- Rescheduling: one reschedule at no penalty if requested more than 7 days in advance. Subsequent reschedules may incur an administration fee.
6. Exceptional circumstances
We recognise that life is unpredictable. If you are unable to participate due to a serious medical emergency, bereavement, or force majeure event, please contact us at billing@mindacks.com with supporting documentation. We will review requests on a case-by-case basis and may offer a refund, credit, or deferral at our discretion.
7. How to request a refund
To submit a refund request:
- Email billing@mindacks.com with the subject line “Refund Request — [Your Name] — [Programme Name]”.
- Include your full name, registered email address, order/invoice number, the programme or certification you enrolled in, and the reason for your request.
- We will acknowledge your request within 2 business days and aim to resolve it within 5–7 business days.
8. Refund method and timeline
Approved refunds are returned to the original payment method (credit/debit card, bank transfer, or other method used at checkout). Processing times:
- Credit/debit card: 5–10 business days from approval.
- Bank transfer: 3–7 business days from approval.
- PayPal or other digital wallets: 3–5 business days from approval.
MHCAI does not charge any administrative fee for processing refunds. Original payment gateway fees (if any) may be deducted if the gateway does not return them to us.
9. Chargebacks
We ask that you contact us at billing@mindacks.com before initiating a chargeback with your bank or card issuer. We can almost always resolve disputes faster directly. Initiating a chargeback without first contacting us may result in the suspension of your account while the dispute is investigated.
10. Changes to this policy
We may update this policy from time to time. Material changes will be communicated via email and a notice on our website. Changes apply to purchases made after the effective date of the updated policy; existing enrolments are governed by the policy in effect at the time of purchase.
